Welcome to ReadFlow ("ReadFlow," "we," "us," or "our"). ReadFlow is a web-based platform designed and managed by Ohood Abdullah Khoja to serve as your personal library or repository for PDF documents. By creating an account with us, you can securely upload, store, and interact with your PDFs. Our features include:

• Store, Read, Annotate, Edit, and Comment: Engage with your PDFs using intuitive tools powered by locally hosted PDF.js Express, allowing you to annotate, highlight, and comment directly on your documents.

• Reading Progress Tracking: Keep track of your reading progress across all your documents to easily pick up where you left off.

• Goals and Planning: Set personalized reading goals by selecting specific documents and pages, and monitor your progress to stay on track.

• Reading Heatmap: Visualize your reading habits with our heatmap feature, helping you understand and improve your reading patterns.

• AI Assistant: Utilize our assistant to ask questions and receive answers derived from your entire library, specific books, or individual pages.

• Note Taking: Create, edit, and store notes to enhance your learning and reference materials for future use.

• Transcription and Summaries: Generate transcriptions and summaries from your PDFs to distill key information and insights.

• Daily Planner: Organize your daily tasks and manage your time effectively with our built-in planner.

• Summarization: Produce and store summaries from your PDFs to quickly grasp the main points of your documents.

1.2. Acceptance of Terms

By accessing or using ReadFlow's website and services (collectively, the "Services"), you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions ("Terms"). If you do not agree with these Terms, you must not access or use our Services.

1.3. Modifications to Terms

We reserve the right, at our sole discretion, to modify or replace these Terms at any time. When we make material changes to these Terms, we will notify you by email or by posting a notice on our website prior to the effective date of the changes. Your continued use of the Services after the effective date constitutes your acceptance of the new Terms. We encourage you to review these Terms periodically for any updates or changes.

2. Eligibility and Account Registration

2.1. User Eligibility

By accessing or using ReadFlow, you represent and warrant that you meet the minimum age requirement in your country of residence to form a legally binding contract with ReadFlow, and that you have the legal capacity to enter into these Terms. The Services are available worldwide, and it is your responsibility to ensure that your use of the Services complies with all applicable laws and regulations. If you are under the legal age required to enter into a binding contract in your jurisdiction, you must obtain consent from your parent or legal guardian who agrees to be bound by these Terms on your behalf.

2.2. Account Creation

To access certain features of our Services, you must register for an account ("Account"). During the registration process, you agree to provide accurate, current, and complete information about yourself as prompted, including your name, email address, and password. You agree to maintain and promptly update your Account information to keep it accurate, current, and complete. Providing false, inaccurate, or outdated information may result in suspension or termination of your Account.

2.3. Account Security and Responsibility

You are responsible for maintaining the confidentiality of your Account credentials and are fully responsible for all activities that occur under your Account. You agree to:

• Keep your password secure and confidential.

• Not share your Account credentials with any third party.

• Notify us immediately at admin@readflow.io of any unauthorized access to or use of your Account or any other breach of security.

We will not be liable for any loss or damage arising from your failure to comply with these obligations. You agree to indemnify and hold harmless ReadFlow from any unauthorized or illegal use of your Account.

3. User Data and Privacy

3.1. Collection of Personal Information

We are committed to protecting your personal information and your right to privacy. When you use ReadFlow, we collect certain information necessary to provide and improve our Services, including:

• Account Information: When you create an account, we collect your name, email address, and password. This information is essential for account creation, authentication, and communication purposes.

• Uploaded Documents: When you upload PDF documents, they are processed to determine attributes such as the total number of pages and whether OCR (Optical Character Recognition) is required. No personal data is collected during this analysis stage.

• Annotations and Notes: Any annotations, edits, comments, or notes you make on your PDFs are stored to enhance your user experience.

• Usage Data: We may collect information about how you use the Services, such as the features you use and the time spent on the platform, to improve our Services.

3.2. Storage and Security of Personal Data

We take the security of your personal data seriously and implement strict measures to protect it from unauthorized access, alteration, disclosure, or destruction.

Secure Storage

• Account Data: Your name, email, and password are securely stored in our Bubble.io database with privacy rules that ensure only you have access to this information.

• Uploaded PDFs: After processing, your PDFs are securely stored in our Google Cloud Storage buckets with no public access. The original files are deleted from the Bubble.io database to maintain security.

• Vector Data: Embeddings generated from your documents are stored in a secure and HIPAA-compliant Pinecone vector database.

Data Transmission

All data transfers, including API calls and requests for document access, are encrypted and secured to prevent interception or unauthorized access.

Third-Party Services

Certain features of our Services rely on third-party providers. By using these features, you acknowledge and agree to the terms and conditions and privacy policies of these third parties:

• AI Services: When you use AI features such as summarization, transcription, and question answering, these services are provided by third-party providers like OpenAI and OpenRouter. These third parties may process your data to provide the requested functionalities. We encourage you to review their terms and policies to understand how they handle your data:

• Payment Processing: We do not store any payment card details. All payment information is handled securely by our third-party payment provider, which adheres to industry-standard security protocols.

• Access and Correction: You can access and update your personal information at any time through your account settings.

• Data Portability: You have the right to request a copy of your personal data in a structured, commonly used, and machine-readable format.

• Erase or Restrict Processing: You may request the deletion or restriction of processing of your personal data, subject to certain exceptions provided by law.

• Objection to Processing: You can object to the processing of your personal data for direct marketing or other purposes.

• Withdrawal of Consent: Where you have provided consent for data processing, you have the right to withdraw your consent at any time.

3.4. Account Deletion and Data Removal

You have the option to delete your account at any time. Upon deletion:

• Permanent Deletion: All your personal data, including uploaded PDFs, annotations, notes, and data stored in the Bubble.io database, will be permanently deleted.

• Vector Data Removal: Embeddings and any data stored in the Pinecone vector database related to your documents will be deleted.

• Processing Time: Complete deletion of your data may take up to 30 days to process. During this period, your data will be inaccessible and scheduled for permanent deletion.

• Retention Obligations: We may retain certain information if required by law, for legitimate business purposes, or to comply with legal obligations, resolve disputes, and enforce our agreements.

4. Payment and Subscription Terms

4.1. Subscription Plans and Pricing

We offer a range of monthly subscription plans ("Subscription") that provide access to different features and levels of service within ReadFlow. The details of our available Subscription plans, including prices and features, are described on our website and may be updated from time to time.

By subscribing to our Services, you agree to pay all applicable fees associated with your chosen Subscription plan in a timely manner. We reserve the right to modify our Subscription plans and pricing at any time, but any changes will not affect the Subscription fees until the start of your next billing cycle.

4.2. Payment Processing

All payments are processed securely through our third-party payment provider. We do not store or have access to your payment card details. By providing your payment information, you authorize us and our payment provider to charge your payment method for the Subscription fees due. You agree to provide accurate, current, and complete billing information and to promptly update such information in the event of any changes.

Our payment provider adheres to industry-standard security protocols to protect your payment information.

4.3. Refund Policy

We are committed to providing high-quality Services, and your satisfaction is important to us. If our product does not work as expected, we offer a full refund for the current month's Subscription fee. To request a refund, please contact us at admin@readflow.io within 7 days of the charge date, providing details of the issue encountered.

Refunds are granted at our sole discretion after reviewing your request and determining that the Services did not function as promised. Refunds will be processed to the original payment method used and may take 5-10 days to appear on your account, depending on your financial institution.

4.4. Cancellation Policy

You may cancel your Subscription at any time through your Account settings or by contacting us at admin@readflow.io. Cancellation will take effect at the end of your current billing cycle, and you will not be charged for subsequent billing cycles. No partial refunds will be provided for cancellation before the end of a billing cycle unless otherwise specified in our Refund Policy.

Upon cancellation, you will continue to have access to the Subscription features until the end of the current billing period. After that, your Account will revert to a free or limited access status, if available, or you may lose access to certain features and content associated with the Subscription.

4.5. Service Access upon Cancellation or Payment Issues

If your Subscription is cancelled or if payment is declined after you have used the Services, you will retain access to your Account but will be unable to use certain features of the application until payment is resumed. Your data, including uploaded PDFs, annotations, notes, and progress, will remain stored securely unless you choose to delete your Account.

We reserve the right to suspend or terminate your access to the Services if you fail to pay the Subscription fees when due. We will attempt to notify you of any payment issues and provide an opportunity to update your payment information before taking action.

4.6. Non-Roll Over of AI Service Credits

Your Subscription plan may include a certain allowance of AI Service credits for features such as summarization, transcription, and question answering. These credits are provided on a monthly basis and do not roll over to the next billing cycle. Any unused credits will expire at the end of each billing period and cannot be transferred, refunded, or carried forward.

5. Intellectual Property Rights

5.1 Ownership of Content

User Content

When you upload, submit, store, or otherwise provide any content to ReadFlow, including PDF documents, annotations, notes, comments, and other materials (collectively, "User Content"), you retain all rights, title, and interest in and to your User Content. ReadFlow does not claim any ownership rights over your User Content. You are solely responsible for your User Content and the consequences of uploading or publishing it through the Services.

You represent and warrant that:

• Rights to Upload: You have all necessary rights, licenses, and permissions to upload and share your User Content with ReadFlow. This includes the right to upload copyrighted material to our platform, provided you own the rights or have obtained all necessary consents and permissions from the rights holders. Your uploading of such content is for personal, non-commercial use only.

• No Illegal Content: Your User Content does not infringe, misappropriate, or violate any third-party intellectual property rights, privacy rights, or other legal rights. You agree not to upload, store, or share any User Content that is illegal, unlawful, defamatory, obscene, pornographic, harassing, threatening, or otherwise objectionable.

5.2 User License Grant

By using the Services, you grant ReadFlow a limited, non-exclusive, royalty-free, worldwide license to access, use, store, reproduce, modify, and process your User Content solely for the purpose of providing the Services to you. This includes, but is not limited to:

• Processing and Analysis: Analyzing your documents to determine attributes such as the total number of pages and whether OCR (Optical Character Recognition) is required.

• Storage: Securely storing your PDFs, annotations, notes, and related data to provide seamless access and functionality.

• AI Services: Generating embeddings, summaries, transcriptions, and providing AI-powered features like question answering, which may involve processing your User Content through third-party AI services.

• Enhancements: Improving and enhancing the Services based on aggregate usage data and analytics, without disclosing any personally identifiable information.

This license is necessary for us to operate and provide the Services to you. We will not use your User Content for any other purposes without your explicit consent.
